Less charting.
More therapy.

OTomate captures your session and turns it into a clinical note in your format. You review it, edit it and sign it off. Less time writing, more time with the people you treat.

Focus on your client. OTomate takes the notes.

Every session ends with a note, and many end with a report. Written from memory, after hours, that work is slow, tiring and easy to get wrong. OTomate moves it back into the room.

  • Attention on your client

Stop taking notes mid-session. OTomate captures the conversation so you can stay present.

  • Notes that read like yours

Drafts follow your sections, your structure and your clinical voice, every time.

  • You stay the clinician

Nothing is final until you review it. OTomate drafts, flags what it is unsure of and waits for you.

How it works

OTomate drafts.
You decide.

Four steps from session to signed report. The drafting is automated. The judgement never is.

  1. You

    Capture the session

Record in person or add your own observations afterwards. OTomate keeps track of who said what.

  2. OTomate

    Get an AI-drafted note

A structured note in your format, using the client's goals and earlier sessions for context.

  3. You

    Review and edit

Check the draft, change anything, ask for a fresh draft, and complete the parts only you should write.

  4. OTomate, then you

    Export a polished report

Reports fill your own templates. Anything OTomate cannot confirm carries a review flag for you to finish.

A draft you can sign

Clear sections, short lines and nothing invented. Where OTomate needs you, it leaves a placeholder or a review flag instead of a guess.

Smarter notes for busy therapists

Built around the way clinicians actually document, from the first session to the progress report.

  • Session capture

Record the session as it happens, with speakers kept apart in the transcript.

  • AI-drafted notes

Clear, structured notes in short, defensible language. Small talk and scheduling are left out.

  • Your format

Notes follow the sections and style your practice already uses.

  • Your report templates

Longer reports fill your own templates and keep their layout intact.

  • Review flags

Anything uncertain is flagged instead of guessed, so nothing is silently filled in.

  • Goals across sessions

Track each goal from session to session, marked met only when the evidence is there.

  • Your observations first

Add your own clinical notes by voice. They carry more weight than the conversation.

  • Share what you choose

Send only the sections you pick. The rest stays with you.

Questions

How is my data handled?

You stay in control of what is shared. OTomate produces drafts, the clinician always reviews them, and nothing goes out until you choose to share it.

Transcription and drafting use a third-party AI service, so session audio and transcripts are processed by that provider. We will walk you through how data is handled before you start, so you can decide what fits your practice and your obligations.

Does OTomate replace clinical judgement?

No. OTomate drafts documentation. It does not assess, diagnose or decide. It leaves placeholders and review flags rather than guessing, and the parts that need your judgement stay yours to write.

What does private beta mean?

OTomate is in active development and we are opening it to a small group of clinicians at a time. Beta members get early access, a direct line to the team and a real say in what we build next. Expect frequent improvements and the occasional rough edge.

What does it cost?

Beta access is free during the beta. We will be upfront about any pricing well before the beta ends.

Is it only for occupational therapists?

OTomate was designed for occupational therapy first, and it suits any clinician who writes session notes and reports. Tell us your profession when you request access.

Can I use my own note format and templates?

Yes. Notes follow a consistent structure, and reports fill your own templates. Building and managing custom templates inside OTomate is on the roadmap.
